Introducing: Custom Checklist Templates

WedPro Checklist Template and Reminders

New WedPro (Wedding CRM) Feature Alert: Custom checklist templates to keep you (and your team) on top of their to-do lists.

At WedPro, we know wedding pros wear many hats and some days, it can feel like you’re juggling a million to-dos before your morning coffee. That’s why we’re thrilled to announce a new feature designed to make life just that little bit easier: Checklist Templates.

Whether you need to confirm final guest numbers, make a follow-up call, or chase a payment, our brand-new customisable Checklist Templates are here to help you stay in control, your way.

“These new WedPro checklists are an absolute game-changer! My mind is already racing on how they can be used to help our venues with both internal OPs and with their couples. I don’t see them as just tools, they’re secret weapons for efficiency!” – Sarah Bolson, Customer Success Specialist (and former hotelier).

What’s New?

Checklist Templates give you the power to create customised to-do lists that slot seamlessly into your existing workflow. From initial enquiry to “I do,” you can build templates that match your internal processes step-by-step.

You can set them up once and use them again and again — no more scrambling for that post-it note or trying to remember your standard follow-up process. It’s all in one place, ready when you are.

And the best bit? They’ll be rolling out over the coming weeks to all our WedPro Essential and Advanced customers.

Key Features of the NEW Checklist Templates

You’ll find Checklist Templates in the Settings page on your WedPro Dashboard. Here’s a quick peek at what you can expect:

    • A clear overview of any existing templates
    • Create a new template in just a few clicks
    • At-a-glance stats: how many tasks are in each template and how many enquiries have used them
    • The ability to edit or delete existing templates at any time

Once you dive into creating or editing a template, you’ll be able to:

  • Name your checklist (eg. “New Enquiry Process” or “Pre-Wedding Follow-Up”)
  • Set when the checklist should automatically be added to an enquiry (like when it’s created, moved to booked, provisional, or lost)
  • Choose a base date for reminders (like Enquiry Date, Wedding Date, or Showround Date)
  • Add checklist items with drag-and-drop reordering
  • Set automatic reminders linked to each item
  • Choose who gets notified about reminders
  • Mark tasks complete and track progress with a handy visual progress bar

Stay On Top of Every Task

Once a checklist is attached to an enquiry, it becomes its own editable version so you can tailor it further for each couple. Need to add a last-minute task or delete something that’s no longer relevant? No problem.

Even better, ticking a task with a reminder will also automatically mark that reminder as complete in your existing Reminders list— no double handling required.

Real-Life Examples – How you can use the checklists

You might set up a template that’s automatically applied to every new enquiry. One of the checklist items could be “Phone Lead Contact,” with a reminder triggered 10 days after the enquiry date. When the lead lands in your Enquiry Manager, the checklist and its reminders are already in place — no extra admin needed.

You could also create a “Post-Booking Internal Process” checklist that is automatically assigned when an enquiry is moved to “Booked”. This might include items like:

  • “Schedule planning call” with a reminder set 7 days after booking
  • “Follow up for deposit payment” with a reminder set 3 days after booking
  • “Confirm menu selection and dietary requirements” with a reminder triggered 60 days before the wedding
  • “Update internal calendar and handover notes” with no reminder needed

With automatic reminders and clear ownership, your team stays aligned and proactive, ensuring a smooth journey from booked to big day.

A Few More Things to Know

  • There’s currently no limit on how many templates or checklist items you can create.
  • Updating a template won’t affect any checklists already assigned to enquiries.
  • Deleting a template won’t remove it from past enquiries — once assigned, it’s independent.

In other words: you’re in the driver’s seat.
